Artist Alley Terms & Conditions
VeXpo operates closely with the NEC to establish operational safety of all attendance. The following rules and regulations have been established to ensure the continuation of VeXpo. “Vendor” will henceforth refer to any individual or organisation participating in VeXpo with the intention to sell merchandise, goods or services. This includes their helpers, assistants or staff. The Artist and Helpers must comply with VeXpo and their Representatives on the day of the event to ensure safety for all.
VeXpo reserves the right to make changes to the rules at any given time.
“Proxy” or “proxying” means to have another person attend an event in the place of the Artist and sell their artwork/merchandise on their behalf.
Rules for Artist Alley
Proxying is only permitted for health or privacy reasons, but this must be discussed with VeXpo prior to the event and stated within application. Artists who wish to proxy for other reasons must contact VeXpo directly and apply as an Exhibitor.
Artist Alley is exclusively only for artists who create & design their own artwork and merchandise.
The sale of artwork that has been traced, stolen or has been AI generated is strictly prohibited. If found to be using AI or stolen artwork, you will be banned from all future and related events.
You may only use the space permitted to you, be respectful and mindful of your neighbours’ space, if a large crowd or queue has formed, make attempts to organise or request aid from VeXpo staff.
Respect your neighbours, no disruptive behaviour such as lighting, loud music etc will be permitted. If you have extra activities at your table, inform VeXpo of your plans so we can plan accordingly.
VeXpo staff reserve the right to decide what is and is not disruptive.
Subletting and transferring your table is not permitted, sharing of tables must be included in your application and pre-approved by VeXpo staff. If unable to attend after booking, please check our cancellation & refund policy.
Regarding the sale of accessories and craft items, it will only be permitted if the items are self-designed and/or made by hand and the majority of the items are not made with pre-purchased materials such as beads, stolen or purchased 3D printed files etc. For example, hand made or hand sewn accessories and plushies are allowed, hand painted press on nails are allowed so long as it is not sold with liquid glue.
Pirated or bootleg materials but not limited to art, stories, merchandise , software and audio, video are not permitted to be sold. Failure to comply will see the related goods removed from the venue.
R18 artwork and goods depicting minors, for example; lolis and/or shotas are strictly prohibited and are not permitted to be sold.
VeXpo staff reserve the right to decide what constitutes an infringement of R18 content.
The sale of food or edible items is not permitted.
VeXpo, nor the staff at the NEC will be involved in financial disputes between attendees and Vendors.
All artwork openly displayed must be PG-13, if wanting to sell a small amount of R18 / NSFW outside of the 18+ AA, then it must not be on full display but kept within a folder, clearly marked as R18. Wristband or ID must be requested prior to being shown to attendees.
Approval of adult merchandise outside the 18+ area Mangas / Doujinshis, artbooks and anime from erotic and / or violent genres (e.g. yaoi, yuri, hentai, horror, splatter, gore) continue to be permitted outside the fan booth area exclusively in the exhibition area of the licence holders / publishers if they are completely sealed and kept inaccessible to minors. Censor bars are not considered sufficient. Non-adolescent merchandise may not be issued to minors.
Display stands and booths must follow regulations.
Free standing
No higher than 2.5 metres from the floor
No wider than 1.5 metres
Must fit in your designated area
Stands on tables can not extend past 3 metres
They cannot obstruct visibility to other stalls
You can not bring extra furniture unless approved by VeXpo personnel a month prior to the event
No excessive lighting or audio.
Gang ways must be kept clear.
Failure to adhere to any rules set by VeXpo will result in the expulsion from the venue.
Policy on Payment
If successful in their application, Participants must pay the initial deposit in the allocated time frame unless discussed.
It is the responsibility of the Participant to inform VeXpo staff of any complications.
Cancellations made up to 2 months before the event date, may receive a full refund.

What is defined as 18+ / R18:
Issue of goods not suitable for minors. Explicit content may only be displayed in the area of the R18 fan booths. Outside of the R18 fan booths, adult content may not be displayed in any way. Censor bars are considered insufficient, as is unopened storage or storage inaccessible to minors. Explicit merchandise may not be issued in the public fan booth area, even upon request and with age verification.
Motifs defined as NSFW Also included under goods permitted exclusively in the R18 booth area are nude drawings as well as figures that are clothed in the most risqué regions (e. g. with lingerie) but are carrying out sexualized acts. The same applies to ahegao products, as well as figures, manga / doujinshis, artbooks and anime from the genre yaoi, yuri, hentai, horror, splatter, gore and partly ecchi.
Ratio of erotic and adult merchandise booths whose assortment consists mainly and / or prominently of soft erotic and erotic (e.g. ecchi) depictions and merchandise and thus conveys a clearly erotic effect in the overall image are only permitted in the area of the R18 fan booths.
